Administrative Assistant, Gilroy Economic Development Corporation (GEDC)

This is a part-time position, not to exceed 34 hours per week. 
Competitive wage based on skill levels and qualifications.  

Job Description

Works closely with the GEDC President/CEO assisting in planning, organizing and coordinating economic development activities in the City of Gilroy which include efforts to retain local businesses, attract new businesses and industry and promote community participation and awareness.  This position is currently a part-time position approximately 34 hours per week.  This individual must be a self-starter, possess strong interpersonal skills and be a team player.  In addition, this individual must demonstrate a strong work ethic and have great communication skills.  Duties will include Administrative and Receptionist responsibilities.

Educational Requirements

High school diploma or equivalent, plus any combination of additional training and/or experience to develop skills and proficiency to meet requirements. 

Responsibilities

  • Process incoming calls and daily mail
  • Calendar maintenance, scheduling of meetings and setting up of meeting space
  • Provide general support to the President/CEO
  • Maintain office supply inventory and replenish as needed
  • General administrative duties:  data entry, memos, letters, faxing, copying, bulk mailings
  • Assist with a variety of projects, reports and assignments including document preparation
  • Meet and deal with clients serving as a liaison to the public and disseminating appropriate information via e-mail and telephone
  • Interface with financial staff to prepare monthly financial statements
  • Prepare invoices for GEDC partners and monitor GEDC accounts receivable on an on-going basis
  • Process accounts payable
  • Maintain and update GEDC website and data bases
  • Assist in researching City economic development needs
  • Attend GEDC board meetings and prepare board meeting minutes with oversight by the President/CEO
  • Other duties as assigned

Required Skills and Abilities:

  • Strong oral and written communication skills.  Good customer service and telephone etiquette
  • Working knowledge of and troubleshooting skills for standard office equipment (i.e. computers, copiers, printers, phones, fax and postage meter)
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, Powerpoint and Publisher
  • Experience with Dream Weaver (CS4) web publishing software
  • Proficiency with QuickBooks accounting software
  • Ability to prioritize and complete concurrently time sensitive assignments
  • Flexibility, the ability to manage competing demands and adapt to changes
  • Ability to keep information secure and confidential
  • Must be friendly, outgoing and dependable
  • Possess excellent organizational skills and demonstrate professionalism
